Running Cost Calculator

The client required a modelling system capable of calculating the hourly, monthly, and annual running costs for up to 1,000 private dwellings.

The system allows users to input a range of variables specific to each project’s requirements. These inputs include, but are not limited to:

  • Quantity and type of properties
  • Daily schedules for heating and hot water usage
  • Heating diversity factor
  • Seasonal operation profile
  • Climate profile
  • Electricity pricing structures and time periods

Each parameter is pre-populated with user-adjustable default values.

Upon entering the required data, the system generates detailed running cost reports in both tabular and graphical formats. These reports can be compiled into a single PDF file, which can then be attached to an email and sent to the end user with a single click.

Project Management and Cost Tracking System

My client required a comprehensive system to manage project-specific documentation and track overall project costs, ultimately calculating the final gross profit for each complete finish installation. The system was designed to incorporate the originally quoted price, all purchase orders for materials and subcontracted labour, and any variation orders received from the end client.

To streamline operations and minimise human error, the system included a centralised database of customer and supplier information. This data was used to automatically populate all quotations, purchase orders, and customer invoices, significantly improving accuracy and efficiency.

Once a project was initiated, its key details - including a unique project number - were used consistently across all related documentation, ensuring clear organisation and traceability throughout the project lifecycle.

Users could generate purchase orders, variation orders, and invoices directly within the system. These documents were automatically converted to PDFs and attached to pre-drafted emails, ready for review and distribution to the appropriate customer or supplier. All correspondence and documents were logged within the system for easy reference and detailed project reporting.

Additionally, an integrated invoice tracker enabled the finance team to monitor outstanding payments. The tracker flagged invoices nearing their due dates or marked as overdue. With a single click, customised email reminders could be sent to clients, streamlining the follow-up process and supporting timely payments.

UK Postcode and Hourly Climate Data

The client required a system capable of retrieving the most relevant hourly weather data based on any UK location. Users would input a UK postcode, and the system would identify and return the 15 nearest weather stations, ranked by proximity. For each station, the system would provide additional details including distance, bearing, and data availability.

Users could then select a preferred weather station for further analysis. The system would present monthly and yearly temperature averages, highlight the coldest and warmest months or years, and display corresponding minimum and maximum daytime and night-time temperatures over a user-defined time period.

Additionally, the data could be exported for use in external modelling applications. The dataset included 10 years of hourly temperature records from 401 UK weather stations - amounting to over 35 million data points - as well as information on more than 1.36 million UK postcodes.

Automated Risk Assessment Document Generation

The client previously created site-specific Risk Assessment documents manually by selecting up to 22 standard templates, updating each individually with site and customer details, and then compiling them into a single file with a custom title and contents page before sending to the customer. This process was not only time-consuming but also prone to human error.

To streamline this workflow, I developed a custom Excel-based solution that automated the entire process.

Users now select the customer from a dropdown list linked to an existing client database, input the site details once, and choose the document compiler from another dropdown. They then select which of the standard documents to include in the final Risk Assessment using simple Yes/No toggles.

With one click, Excel automatically:

  • Updates each selected document with the relevant site and customer information
  • Generates a dynamic contents page based on selected documents
  • Combines everything into a single PDF
  • Creates a pre-populated email with the PDF attached, ready for review and sending

This solution significantly reduced manual effort, improved accuracy, and freed up valuable time for the my client’s team.
